Attendance Photographs and Facial Verification

  • Information We Collect and Why:

We may collect and store an employee’s photograph when the employee marks attendance through our mobile app.

In the standard attendance flow, the photograph is saved with the employee’s attendance record for attendance documentation and auditing. Facial matching is not performed in this flow.

If a customer company enables facial attendance in the Resourceinn mobile app, the employee first enrolls a reference photograph. Each time the employee subsequently marks attendance, the app captures a live photograph and compares it with the enrolled photograph to verify that the person marking attendance matches the enrolled employee.

Before capturing a photograph, the app uses Google ML Kit on the device to check whether a face is inside the camera frame. This check uses the face’s bounding box only, runs on the device, and is not uploaded or stored. The on-device face detection performed by Google ML Kit does not send photographs to Google.

We do not collect or store a facial geometry template or face embedding for this feature.

  • Storage and Third-Party Processing:

Attendance photographs are stored in Amazon S3 for the customer company’s Resourceinn account. Our database stores the relevant file locations linked to the employee’s attendance records. When facial attendance is enabled, the enrollment photograph and live attendance photographs are also linked to the employee’s face-verification record.

To perform face matching, we send the enrollment photograph and the live attendance photograph to Amazon Rekognition, which returns a match or no-match result. We store the matching result for attendance verification.

Amazon S3 provides photograph storage, and Amazon Rekognition processes photographs for facial matching. The customer company’s authorized users can access attendance photographs within the Resourceinn HR product.

  • Data Retention:

Attendance photographs collected through both standard attendance and facial attendance are retained as part of the customer company’s attendance records while the company uses Resourceinn, subject to applicable retention requirements.

  • Data Deletion:

When a customer company discontinues its Resourceinn service, we delete that company’s stored data, including standard attendance photographs, facial-attendance photographs, enrollment photographs, and associated face-verification records, within 90 days of the service ending.

The customer company can also request earlier deletion by contacting us at ([email protected]). Any deletion request is handled in accordance with our applicable data-retention and deletion procedures.

  • Face ID and Fingerprint Authentication:

If an employee chooses to unlock the app using Face ID or fingerprint authentication, authentication is handled by the employee’s device. We receive only the authentication success or failure result and do not receive or store the device’s Face ID or fingerprint data.

  • Purpose and Sharing Restrictions:

Attendance photographs are used for attendance documentation and auditing. When facial attendance is enabled, they are also used to verify that the person marking attendance matches the enrolled employee. Photographs are not sold or used for advertising or marketing.
